Welcome to GymLedger. This document contains both our Terms of Service and Privacy Policy. By creating an account or using the GymLedger mobile application ("App"), you confirm that you have read, understood, and agree to these terms.

Part 1 — Terms of Service

1. Description of Service

GymLedger is a gym membership management tool that allows gym owners to:

• Track gym member subscriptions and renewals
• Record and manage payment history
• Receive notifications about expiring memberships
• Manage member contact information and notes
• View revenue and financial insights

2. Account Registration

• You must sign in using a valid Google account
• You are responsible for maintaining the security of your account credentials
• You must provide accurate and complete information
• One account per individual. Sharing account access is at your own risk
• You must be at least 18 years old to use the App

3. Acceptable Use

You agree to use the App only for its intended purpose of gym membership management. You must not:

• Use the App for any unlawful purpose
• Attempt to gain unauthorised access to the App's systems or other users' data
• Upload malicious content or attempt to disrupt the App's functionality
• Use the App to store data unrelated to gym management
• Reverse-engineer, decompile, or disassemble the App

4. Member Data Responsibility

As a gym owner, you enter personal data of your gym members. You acknowledge and agree that:

• You are the data controller for your gym members' personal information
• You are solely responsible for obtaining proper consent from your gym members before entering their personal data into the App
• You must inform your members that their data is stored digitally and explain how it is used
• You must comply with all applicable data protection laws, including India's Digital Personal Data Protection Act (DPDPA) 2023
• We are not liable for any claims arising from your failure to obtain proper consent from your members

5. Service Availability

• We strive to keep the App available at all times but do not guarantee uninterrupted access
• The App may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control
• We reserve the right to modify, suspend, or discontinue the App at any time

6. Account Deletion

• You may delete your account at any time through Settings in the App
• Account deletion removes your authentication credentials permanently
• Anonymised data may be retained as described in the Privacy Policy below
• We may terminate or suspend your account if you violate these Terms

7. Intellectual Property

All content, features, branding, and functionality of the App — including the GymLedger name, logo, and design — are owned by us and protected by applicable intellectual property laws. You may not copy, modify, or distribute any part of the App without our prior written consent.

8. Limitation of Liability

To the maximum extent permitted by law:

• The App is provided "as is" and "as available" without warranties of any kind
• We are not liable for any data loss, business interruption, or financial loss arising from your use of the App
• We are not responsible for decisions you make based on information displayed in the App
• Our total liability shall not exceed the amount you paid for the App (if any)

9. Indemnification

You agree to indemnify and hold us harmless from any claims, damages, or expenses arising from your use of the App, your violation of these Terms, or your violation of any rights of a third party (including your gym members).

10. Governing Law

These Terms shall be governed by and construed in accordance with the laws of India. Any disputes shall be subject to the exclusive jurisdiction of the courts in India.

Part 2 — Privacy Policy

This section explains how we collect, use, store, and protect your information.

11. Information We Collect

a) Account Information (via Google Sign-In)

• Name, email address, and Google profile identifier

b) Gym Profile (provided by you)

• Gym name, contact phone number, and address

c) Member Data (entered by you)

• Member names, phone numbers, and email addresses
• Subscription plans, amounts, and dates
• Payment history and notes

d) Technical Data (automatic)

• Device tokens for push notifications

12. How We Use Your Information

13. Data Storage and Security

Your data is stored using Google Firebase (Cloud Firestore and Firebase Authentication), which provides encryption in transit and at rest, secure authentication, and industry-standard data centre compliance.

Local data is stored on your device using Hive, an encrypted local database.

14. Data Retention

• Active accounts: Data is retained as long as your account is active.
• Deleted accounts: Authentication credentials are permanently removed. Anonymised usage data may be retained for analytics and service improvement. This data cannot be used to identify you personally.
• Local data: Cleared when you delete your account or uninstall the app.

15. Third-Party Services

We use Firebase Authentication, Cloud Firestore, and Firebase Cloud Messaging — all operated by Google LLC and governed by Google's Privacy Policy.

We do not sell, rent, or share your personal data with any other third parties.

16. Your Rights

Under India's Digital Personal Data Protection Act (DPDPA) 2023, you have the right to:

• Access your personal data stored in the app
• Correct inaccurate information via the app's settings
• Delete your account at any time from Settings
• Withdraw consent by deleting your account or contacting us

17. Children's Privacy

GymLedger is not intended for individuals under 18. We do not knowingly collect personal data from children.

18. Data Breach Notification

In the event of a data breach, we will notify affected users within 72 hours as required by applicable law.

Changes to These Terms

We may update these Terms & Conditions from time to time. Changes will be posted on this page with an updated date. Continued use of the App constitutes acceptance.
