Terms of Service

Welcome to Gym Ledger. These Terms of Service ("Terms") govern your use of the Gym Ledger mobile application ("App") provided by Gym Ledger ("we", "our", or "us"). By using the App, you agree to be bound by these Terms.
1. Acceptance of Terms
By creating an account or using the App, you confirm that you have read, understood, and agree to these Terms. If you do not agree, please do not use the App.
2. Description of Service
Gym Ledger is a gym membership management tool that allows gym owners to:
- Track gym member subscriptions and renewals
- Record and manage payment history
- Receive notifications about expiring memberships
- Manage member contact information and notes
- View revenue and financial insights
3. Subscription, Billing & Refunds
- Gym Ledger offers an optional paid subscription ("Gym Ledger Pro") that unlocks premium features. The applicable fee and billing period are shown in the App before you confirm your purchase. Payments are processed by our payment partner, Razorpay; we do not store your card, UPI, or bank credentials.
- All subscription fees are non-refundable. All purchases, renewals, and repeat purchases are final. If we issue a refund at our sole discretion, it is processed to your original payment method through Razorpay and may take 5 to 10 business days to appear, depending on your bank or provider; when a refund is issued, your Gym Ledger Pro access ends and your account reverts to the free plan.
4. Account Registration
- You must sign in using a valid Google account
- You are responsible for maintaining the security of your account credentials
- You must provide accurate and complete information
- One account per individual. Sharing account access is at your own risk
- You must be at least 18 years old to use the App
5. Acceptable Use
You agree to use the App only for its intended purpose of gym membership management. You must not:
- Use the App for any unlawful purpose
- Attempt to gain unauthorised access to the App's systems or other users' data
- Upload malicious content or attempt to disrupt the App's functionality
- Use the App to store data unrelated to gym management
- Reverse-engineer, decompile, or disassemble the App
6. Member Data Responsibility
As a gym owner using Gym Ledger, you enter personal data of your gym members. You acknowledge and agree that:
- You are the data controller for your gym members' personal information
- You are solely responsible for obtaining proper consent from your gym members before entering their personal data into the App
- You must inform your members that their data is stored digitally and explain how it is used
- You must comply with all applicable data protection laws, including India's Digital Personal Data Protection Act (DPDPA) 2023
- We are not liable for any claims arising from your failure to obtain proper consent from your members
7. Data and Privacy
Your use of the App is also governed by our Privacy Policy, which explains how we collect, use, and protect your data. By using the App, you consent to our data practices as described in the Privacy Policy.
The Privacy Policy contains the full list of third-party services and processors that handle data on our behalf (including Firebase Authentication, Cloud Firestore, Firebase Storage, Cloud Messaging, Crashlytics, Analytics, Performance Monitoring, App Check, Cloud Functions, the Trigger Email extension, and Razorpay), the categories of data each one receives, and the retention rules we apply. Please review it before using the App.
8. Service Availability
- We strive to keep the App available at all times but do not guarantee uninterrupted access
- The App may be temporarily unavailable due to maintenance, updates, or circumstances beyond our control
- We reserve the right to modify, suspend, or discontinue the App or any part of it at any time
9. Internet Connectivity Requirement
Gym Ledger requires an active internet connection to use. When the App detects no connectivity, it displays a full-screen "No internet connection" notice and pauses interaction until connectivity is restored. The App does not support offline data entry; members, payments, leads, and trainer changes can only be saved while you are online.
We recommend using the App on Wi-Fi or mobile data. We are not responsible for any data loss or business disruption caused by your device's loss of connectivity.
10. Account Deletion
- You may delete your account at any time through Settings in the App
- Account deletion is permanent and complete for Gym Ledger-owned account content: it erases your authentication credentials and your gym profile, members, payments, attendance, media, bug reports, and related records from our servers and storage. A minimal UID-keyed deletion tombstone may remain briefly only to block stale sign-in tokens, then scheduled cleanup removes it.
- Razorpay independently retains its own transaction records, as described in our Privacy Policy
- We may terminate or suspend your account if you violate these Terms
11. Intellectual Property
All content, features, branding, and functionality of the App — including the Gym Ledger name, logo, and design — are owned by us and protected by applicable intellectual property laws. You may not copy, modify, or distribute any part of the App without our prior written consent.
12. Limitation of Liability
To the maximum extent permitted by law:
- The App is provided "as is" and "as available" without warranties of any kind
- We are not liable for any data loss, business interruption, or financial loss arising from your use of the App
- We are not responsible for decisions you make based on information displayed in the App
- Our total liability shall not exceed the amount you paid for the App (if any)
13. Indemnification
You agree to indemnify and hold us harmless from any claims, damages, or expenses arising from your use of the App, your violation of these Terms, or your violation of any rights of a third party (including your gym members).
14. Governing Law
These Terms shall be governed by and construed in accordance with the laws of India. Any disputes arising from these Terms or your use of the App shall be subject to the exclusive jurisdiction of the courts in India.
15. Changes to These Terms
We may update these Terms from time to time. Changes will be posted on this page with an updated "Last updated" date. Your continued use of the App after any changes constitutes acceptance of the revised Terms.
